How we collect your personal data
We collect your personal data in 4 different ways:
- Personal data that you provide to us (online or offline). For example, when you: contact us, order or use our products and/or services, provide products and/or services to us, apply for a job with Instrument Solutions and participate in our seminar.

- In order to provide you with a range of high-quality laboratory equipment and related products and services, as a distributor we work closely with various manufacturers. For example, we receive your personal information from our manufacturer in response to a request you have made to that manufacturer.
- We may receive your personal information from third parties as part of the products and services we provide or for legal reasons. For example, from: your company (your employer), suppliers in technical, payment, recycling, and delivery services, insurers and lawyers
Personal information we collect from you
Personal data we collect from or about you may include:
- Your first name, last name, contact information (e-mail address, phone number), gender, (academic) title, IP address;
- Information related to your company (where you work) such as: company name, your position, your discipline (e.g., analytical chemistry), mailing address, billing address, delivery address, payment information, contact information and order information;
- Your communication preferences and all other (marketing) communications (including information).
If you apply for a job with Instrument Solutions, we collect the personal data you provide us during the application process, such as a curriculum vitae.
We do not collect or process any special personal data. If you accidentally or intentionally transmit special personal data to us, we process this data for the purpose of deleting it.
If you choose not to provide your personal data to us and it is a necessary condition to enter into a contract between you and Instrument Solutions, we will not enter into a contract or provide or purchase the goods and/or services.
You are, or your child is under 16 years of age
We do not knowingly or intentionally process personal data of children under the age of 16 unless we have parental or guardian consent to process the personal data.

Bases for processing.
Legal bases for processing your personal data are:
- Legitimate interests of us or third parties, except where the data protection interests or rights and freedoms of you are overriding, e.g. business interests;
- To enter into or perform a contract with you, e.g. to deliver goods and/or services you have ordered;
- If you have given us your consent to do so, for example to provide you with marketing communications;
- Compliance with legal obligations, for example to keep payment details for 7 years mandatory for the Tax Office;
- If necessary, to protect the vital interests of any natural person, for example in the case of first aid, where a person has become unconscious.
Sharing of your personal data
We do not share, sell, rent or trade your personal information with/to third parties without your consent, except as described below:
We may share your personal information with various third parties, such as to deliver your order or to sign you up to access our manufacturer’s facility (e.g., manufacturing location).
These third parties include, for example: our manufacturers, delivery, recycling, and technical services, financial institutions, and government agencies. We provide these third parties with only those elements of your personal information that they need to effectively deliver services and goods.
We also do business with vendors who process your personal information on our behalf and help us operate our business efficiently, for example, vendors in technical, payment, hosting, e-mail, and delivery services. We are responsible for ensuring that companies processing your personal data on our behalf are committed to applicable personal data protection laws by entering into a “processor agreement.”
We share your personal data with third parties if required by law.
Storage and security of your personal information
We seek to protect the security of your personal information by taking appropriate technical and organizational measures. For example, access control, storing your information on secure servers, securing our website with HTTPS (Hypertext Transfer Protocol Secure).
Most data is stored and processed within the EU/European Economic Area (EEA). If it is necessary to transfer your personal data outside the EU/EEA, for example because a data center or our supplier is located there, we ensure that we have a specifically stated legal basis for transferring personal data to a country outside the EU/EEA.
How long do we keep your personal data?
- We will retain your personal data for as long as we deem necessary to fulfill the purpose for which the personal data was collected, also taking into account our need to answer your questions or resolve potential problems, to comply with legal requirements under applicable law, any legal claims/complaints and for security purposes;
- We may process data for statistical purposes, but in such cases data will be anonymized;
- In connection with an application: if your application is not successful, we will retain your information for a limited period of time (4 weeks), or if you have given your consent longer (1 year).

Inspection To see your personal data that we hold about you. We then request that you tell us which data you would like to see.

To request that your personal data be deleted when it is no longer necessary to retain such data. However, we may, if necessary, continue to store and process the data if we have a legal reason to do so (for example, to keep tax records or as proof of complaints).
